TIUA International Investment, Delegation & Third-Party Travel Policy

Trinity International University of Ambassadors (TIUA), including all subsidiaries and affiliate institutions, participates in selected international investment trips, business delegations, leadership exchanges, and global development experiences when invited by reputable organizations, ministries, governments, agencies, or private partners. These trips are often planned, coordinated, or managed entirely by third-party organizers who are not owned, operated, or controlled by TIUA. This policy establishes the guidelines, responsibilities, and limitations governing TIUA’s involvement in such events, and clarifies the expectations for any participant attending under the TIUA name.

Purpose of This Policy

The purpose of this policy is to clearly define TIUA’s limited role in external travel opportunities; protect the university from liability related to third-party trips; establish boundaries for branding use and representation; ensure that all participants behave ethically and professionally; and prevent misrepresentation of TIUA’s authority, endorsement, or involvement. This policy applies to TIUA faculty, staff, students, alumni, honorees, delegates, and any individual associated with TIUA who attends or participates in a third-party delegation, investment trip, or global travel experience.

TIUA Does Not Organize or Control Third-Party Trips

TIUA does not plan, organize, coordinate, supervise, manage, or collect funds for any event, trip, delegation, or investment opportunity created by a third-party organizer. Unless TIUA explicitly states in writing that a trip is organized by the university, it must be assumed that TIUA is not the organizer.

TIUA is not responsible for the actions, decisions, promises, representations, or activities of any external organization or host. TIUA does not oversee logistics, itineraries, safety, transportation, accommodations, scheduling, administrative decisions, or financial operations of third-party trips.

TIUA’s Limited Role in External Delegations

When TIUA representatives attend or support an external delegation, they do so as invited guests, participants, collaborators, or speakers. Attendance or visibility does not mean TIUA is responsible for or has oversight of the event. TIUA’s involvement is limited to representation only, and does not imply endorsement, guarantee, or validation of the host organization’s operations or outcomes.

Required Disclosure to Participants

Before attending any third-party trip, TIUA will provide written clarification identifying: the name of the third-party organizer; the entity responsible for planning and logistics; TIUA’s non-involvement in managing the trip; instructions that all payments must be made directly to the organizer; and TIUA’s liability limitations. Participants must sign the TIUA Third-Party Travel Acknowledgment, Liability Waiver, and Non-Affiliation Statement before engaging in any travel under TIUA’s name.

Authorized Use of TIUA Branding and Revocable Permission

TIUA may occasionally grant limited, written permission for its name, logo, branding, or representation to appear on marketing materials for a third-party trip. Any such permission is conditional and revocable at any time. Authorization is immediately voided if the organizer engages in misrepresentation, unethical practices, changes the nature of the trip, provides inaccurate information, endangers participants, fails to operate with integrity, or acts in a manner inconsistent with TIUA’s values.

The use of TIUA’s logo or name on promotional material does not create obligation, liability, responsibility, or endorsement for the trip. Listing TIUA as a supporter, partner, or sponsor does not bind TIUA to any action or requirement, and is not evidence of TIUA responsibility.

Unauthorized Claims of TIUA Support

If any individual or organization posts online, on a website, or on social media that TIUA “supports,” “endorses,” “proudly partners,” or “sponsors” a third-party trip without explicit written authorization from the TIUA Office of Institutional Affairs, such statements are unauthorized and invalid. Unauthorized use of TIUA’s name or logo does not create any legal, financial, ethical, or organizational responsibility for TIUA. TIUA is not responsible for claims made by alumni, participants, external hosts, influencers, or third-party organizations who seek credibility through TIUA association.

TIUA reserves the right to issue clarification or deny affiliation when necessary to protect the institution’s integrity.

Financial Integrity and Responsibility

Participants must pay all fees directly to the third-party organizer or authorized travel agent. TIUA does not accept, process, or manage funds for trips it does not organize. TIUA does not guarantee refunds or intervene in financial disputes with external parties. Participants are responsible for all travel-related expenses including passports, visas, insurance, vaccinations, lodging not covered by the organizer, and personal spending.

Ethical Conduct and Participant Responsibility

All individuals attending a third-party trip under TIUA’s name must uphold TIUA’s standards of integrity, professionalism, Christian character, and ethical behavior. Misconduct, harassment, inappropriate behavior, financial wrongdoing, misrepresentation of authority, or actions that harm TIUA’s reputation may result in removal from the trip and prohibition from future TIUA travel or programs.

Adherence to Trip Guidelines

Participants must follow all instructions issued by TIUA leadership, trip hosts, and local authorities. Safety guidelines, meeting times, cultural expectations, and group coordination instructions must be followed at all times. TIUA may require participants to remain with the group during official activities.

Liability for Participants Who Wander or Separate from the Group

TIUA is not responsible for participants who choose to separate from the delegation, wander off, ignore instructions, or engage in unauthorized activities. Individuals who separate from the group assume full personal responsibility for their safety, legal consequences, lost property, missed transportation, and any incidents resulting from unsanctioned behavior. Such actions may result in dismissal from the trip at the participant’s own expense.

Use of TIUA Name and Representation

Participants are not permitted to use TIUA’s name, title, logo, or credentials to negotiate business deals, advertise events, or imply TIUA endorsement without written approval. No individual may speak on behalf of TIUA, make commitments, or represent TIUA authority without documented permission.

Crisis and Incident Reporting

TIUA will provide administrative and spiritual support to participants experiencing emergencies but is not responsible for embassy communications, legal issues abroad, medical care, or trip disruptions caused by external organizers or local conditions. Trip incidents must be documented and submitted to TIUA for internal records.

TIUA’s Right to Decline Participation

TIUA may decline involvement in any trip that appears unsafe, misrepresented, unethical, poorly organized, or inconsistent with TIUA’s Christian mission. TIUA may also restrict individuals from using its name or affiliation for travel it does not approve.
